How Far in Advance Should You Book a Photo Booth?

Every vendor page in this market says book early and stops there. Here is an actual calendar: which months are tight in South Florida, what runs out first, and when you can genuinely book the same week.

Short answer

Book six to nine months ahead for a Saturday between November and April, three to six months for a May or June graduation, and two to three months for most other dates. In July, August and September, a weeknight can often be booked the same week. The season, not the event, drives the lead time.

How far in advance should you book a photo booth in South Florida?

Six to nine months if your event is on a Saturday between November and April. Three to six months for a May or June graduation. Two to three months for most other dates. Same week is often fine for a Tuesday in August.

Search this question and you get six or seven South Florida vendor pages that all say the same two words: book early. None of them tell you what early means here, which is a shame, because South Florida has a genuinely different calendar from the rest of the country and that calendar is the whole answer.

Read those as the point where you stop having a choice of booth, not the point where booking becomes impossible. Those are different problems and we will come back to that.

The South Florida calendar is not the national calendar

In most of the country, the event year peaks in late spring and early fall and goes quiet in winter. Here it is close to the opposite. From roughly November through April the population swells, the weather is the reason people moved here, and the event volume swells with both. July and August are when the rest of the country throws its parties and South Florida sits inside in the air conditioning.

Two things do not follow this pattern at all. Quinceaneras and mitzvahs run year round because they are tied to a birthday and a calendar rather than to a season. They still cluster on Saturdays, which is the part that matters for availability.

November through April is the season, and Saturday evening is the bottleneck

If your event is a Saturday evening in this window, treat six to nine months as the real number and do not talk yourself out of it. This is not scarcity marketing. It is that a Saturday in February has to serve weddings, galas, quinceaneras, mitzvahs, corporate events and birthdays all at once, and there are only about twenty of those Saturdays in the entire season.

The practical sequence is simple. Book the venue. Book the caterer and the photographer. Book the booth in the same pass as the photographer, not in the pass after the florist. People consistently leave the booth until the end because it feels like an add on, and then find that the date they have been planning around for eight months has two booths left in it instead of six.

Fridays and Sundays are meaningfully easier, even in February. If your date has any flexibility at all, that is where it pays.

December is two different markets competing for the same Saturday

December is the hardest month in this market to book, because two separate demand curves land on top of each other. The first is corporate holiday parties, which are not spread across the month. They concentrate into the first two weeks, on Thursdays and Fridays, because companies do not want to compete with the week before Christmas. The second is Miami Art Week in early December, which pulls branded activations, gallery events and sponsor parties into the same handful of days in Miami Beach and Wynwood.

If you are planning either one, four to six months is the number, and for a branded build it is about production rather than scheduling. A custom wrap or a printed backdrop has to be designed, approved and produced, and that clock starts before the event clock does.

May and June are graduation

South Florida graduation season compresses into about three weeks in late May, and it is not just families. High schools, colleges and universities are running their own events in the same window, often on the same days. Three to six months is right, and if your graduate's ceremony date is already known, book against it as soon as the party date is set.

Quinceaneras cluster and they want one specific booth

Four to six months. The wrinkle is not the date, it is the booth. A large share of quinceanera bookings want the 360, and the 360 is a single piece of equipment that can only be in one ballroom at a time. That is the thing that runs out, not the Saturday.

Mitzvah dates are set years ahead, so book when the venue is

Bar and bat mitzvah dates are usually locked long before anyone thinks about vendors, which is an advantage almost nobody uses. If you know the date eighteen months out, there is no reason to wait until month six to hold a booth. Four to six months is the floor, not the target.

Summer is the soft stretch, and a Tuesday in August is usually open

Here is the part most vendor pages will not tell you because it argues against urgency. July, August and September are soft. A weeknight in August can frequently be booked the same week. A Saturday in August is often available a month out. If you are planning a birthday party, a small shower, a corporate lunch or an office event in the summer, you do not need to book six months ahead and you should not let anyone tell you that you do.

The same applies to weekdays year round. A Tuesday corporate event in February is a very different availability problem from a Saturday wedding in February, even though they are in the same week. Conferences, training days, employee appreciation events and trade shows nearly all fall on weekdays, and weekdays are the easiest thing in this market to book.

So ask about your date even if it feels too late. The worst case is that we tell you what is still available, and there is no rush fee on our price list for saying yes quickly.

What actually runs out is a booth, not a company

This is the thing that makes lead time advice confusing, and almost nobody explains it. When a photo booth company says they are booked, they usually do not mean the company. They mean one specific piece of equipment with one specific crew.

Every booth is a physical object. There is one 360 platform per crew. There is one AI booth. The Brand Activation build is one build. So on a busy Saturday, the honest answer to your inquiry is often not booked, it is that the booth you asked for is taken and two others are free.

That changes what you should do with a tight date.

  • Ask which booths are available on your date rather than whether the company is available. Those are different questions and you will get a more useful answer.
  • Know your second choice before you call. If the 360 is gone, do you want the open air booth or would you rather move the date?
  • Specialty booths go first. The 360 and the AI booth run out before the open air booths do, on every busy weekend.
  • Saturday evening is the scarce slot. A Saturday morning or afternoon event on the same date is usually wide open.
  • Two booths at one event is a lead time question as well as a budget one. Two pieces of equipment on the same busy Saturday needs more notice than one.
  • If you want a custom wrap or a printed backdrop, add production time on top of everything above.

What holds a date, and what Motion needs from you

A date is held by a signed agreement and a deposit, not by an email conversation. That is true everywhere, and it is worth being blunt about it, because people regularly believe they have a date held when what they have is a friendly quote.

Ours works like this. A deposit is due at booking, and it is what takes the date off the board. The balance is due at least one week before the event, which is deliberate: nobody should be handling money on the day of their own party. The Gala publishes a 20 percent deposit requirement, which is more than most of this market discloses, and beyond that almost nobody in South Florida publishes deposit terms at all.

There is no penalty for booking late with us

No rush fee and no weekend premium appear on our price list. Nationally, a rush fee runs $100 to $300 and a weekend premium is around $50, per Pixilated and Thumbtack. A short lead time costs you choice of booth, not money. The Social booth is $399 for two hours whether you book it in March for a February wedding or on a Monday for that Friday.

You do not need your full timeline to book. You need the date, the venue, a rough guest count and which booth you want. The run of show, the template design, the exact open and close times and the certificate of insurance for your venue can all be settled later. Waiting for the timeline before holding the date is the single most common way people lose a date they could have had.

Check your date against the real price list

Motion's booths start at $399 for two hours on the Social booth and run through $599 for the Headshot, $699 for the 360, $749 for the Classic and $850 for the AI booth, all at three hours, up to $2,500 for a four hour Brand Activation build. Extra hours are $150 to $250. Those numbers do not move with the season, the day of the week or how close to the event you are calling.

They are published rather than gated behind a form, which is still not true of about half this market. There is no travel fee inside Broward, Miami-Dade or Palm Beach. Idle time counts toward your booked hours instead of being billed on top. An attendant is included on every booking, and there is a written guarantee behind it.

Common questions

How far in advance should I book a photo booth?

Can I book a photo booth a week before my event?

Do photo booth companies charge more for Saturdays or last minute bookings?
